How the estimate works

The calculator first works out how many of your calls go unanswered each week. It then applies your own estimate of how many of those missed calls are genuine customer opportunities, and your own expected close rate, to estimate how many potential jobs those calls represent. Finally it multiplies those potential jobs by your own average job value.

unanswered calls × genuine opportunity % × close rate % × average job value = weekly value · monthly = weekly × 52 ÷ 12 · yearly = weekly × 52

This is an opportunity-cost estimate, not a revenue forecast. It shows the potential value represented by the calls you described — not money you have definitely lost, and not an amount any service is guaranteed to recover.

What happens when you can't answer?

TradesButler is an AI front desk built for trades businesses. It can answer calls, capture service requests and leads, identify urgent calls and keep the information organized for follow-up.

Why missed calls matter for trades businesses

In most trades businesses, the people who answer the phone are also the people doing the work. Calls get missed for ordinary, practical reasons:

  • On a job. Hands are full, you're in a crawl space or on a roof, and stopping isn't safe or practical.
  • Driving. Between calls, you can't always pick up safely.
  • Somewhere noisy. Mechanical rooms, job sites and equipment make conversations difficult.
  • Helping another customer. Interrupting the person in front of you isn't good service either.
  • After hours. Evenings, weekends and holidays are when problems often get noticed.
  • No dedicated receptionist. Many small businesses can't justify a full-time person just for the phone.

Not every missed call is valuable

A realistic estimate has to account for the calls that were never going to become work. Missed calls often include:

  • Spam and robocalls
  • Sales solicitations
  • Wrong numbers
  • Existing customers with non-sales questions
  • Suppliers and vendors
  • Low-value or unsuitable inquiries

That's why the calculator asks what portion of your missed calls are genuine opportunities. TradesButler can identify and flag suspected spam while keeping those calls available for review.

Four numbers worth tracking

You can learn a lot about your phones by watching four simple numbers over time:

  1. 01

    Inbound calls

How many calls reach your business each week.

  2. 02

    Unanswered calls

How many of those nobody picks up.

  3. 03

    Genuine leads

How many callers actually need work done.

  4. 04

    Jobs booked

How many of those leads turn into paid work.

Your own business data is a far better guide than generic statistics you find online. Even a rough tally for a few weeks will make this calculator — and your decisions — more accurate.

Ways contractors handle unanswered calls

Voicemail

Free and simple. Some callers leave a clear message; others hang up and you may not know why they called.

Call forwarding

Sends calls to another phone or person. Helpful when someone else is available, but it only moves the problem if they're busy too.

Office staff

A person who knows your business can handle calls well during working hours. It's an ongoing cost and coverage usually ends when the office closes.

Traditional answering service

Live agents take messages around the clock. Quality and detail depend on the service, and costs often scale with call volume.

AI receptionist / front desk

Answers every call at any hour and captures structured details. It follows the setup you give it and won't replace judgment calls a person on your team would make.

Questions

Frequently asked questions

What is a missed-call cost calculator?

It is a simple tool that estimates the potential value of customer opportunities represented by calls your business doesn't answer. It uses only the numbers you enter — your call volume, how many calls go unanswered, how many of those are genuine opportunities, your close rate and your average job value.

How is the estimate calculated?

Unanswered calls per week × the percentage that are genuine opportunities × your close rate × your average job value gives a weekly figure. The monthly figure is weekly × 52 ÷ 12, and the yearly figure is weekly × 52.

Does every missed call represent a lost job?

No. Some callers call back, leave a message or were never going to book. Many missed calls are spam, wrong numbers or suppliers. That is why the calculator asks what share of missed calls are genuine opportunities and what share of those would normally become paying jobs.

What should I use for average job value?

Use your own records where possible — for example, total revenue from completed jobs over a recent period divided by the number of those jobs. If your work varies a lot, try the calculator with a few different values to see a range.

How can I determine my missed-call percentage?

Your phone provider's call log or business phone system usually shows answered and unanswered calls. Count both over a typical week or two. If you can't get that data, keep a simple tally for a week, including calls you see as missed after a job.

Can this calculator be used by HVAC companies?

Yes. It works for any HVAC business because it relies entirely on your own call volume, conversion rate and job value rather than industry assumptions.

Can plumbers and electricians use it?

Yes. Plumbing, electrical, roofing, general contracting and other trades businesses can all use it the same way — just enter numbers that reflect your own business.

Can an answering service help reduce missed calls?

An answering service — whether staffed by people or an AI receptionist — can answer calls you can't get to and record what the caller needs, which can reduce the number of calls that go completely unanswered. Results depend on your business, your callers and how quickly you follow up. TradesButler is one option: an AI front desk that answers calls and captures the details for your team. It does not guarantee any particular number of jobs or amount of revenue.
